Lodgehollow Funding Group arranges equipment requests for physician practices and clinics in New Bern, NC and Craven County. This post explains how equipment loans for doctors work, when refurbished equipment or a lease makes sense, how to include installation and software costs, and how to test the payment with the used equipment payment calculator before any request is made.
New, Refurbished or Leased
Medical equipment comes three ways. New equipment carries the full warranty and the latest software. Refurbished equipment from an established reseller is priced and warranted differently from new, so compare the total cost and what the warranty covers. Leasing suits technology that the practice expects to replace on a schedule, such as imaging that gets outdated. Each can be financed; the choice affects the term a partner will offer and the total cost.
Refurbished units can be financed when the reseller provides a quote with model, year, service history and warranty. Private-party medical equipment is harder, because its condition and ownership are harder to confirm.
Soft Costs: Installation, Training and Software
A quote for an imaging system or a lab analyzer can list more than the machine: shipping, installation, room preparation, training and software licenses. Some partners finance these soft costs with the equipment; others limit funding to the hardware. Ask the vendor for an itemized quote, and ask the partner which items it will include.
Testing the Payment Before You Ask
Illustrative numbers only, not an offer: a refurbished ultrasound system quoted at $38,000, with $4,000 down, leaves $34,000 to finance. At a rate of 10 percent over 36 months the payment works out to about $1,097 a month, and the total cost including the down payment about $43,495. Over 60 months the payment falls to about $722, but the total rises to about $47,344. The used equipment payment calculator runs these numbers for any quote.
Then set the payment against what the equipment brings in: how many additional procedures a month cover it, after the time those procedures take.
Timing With Reimbursement
New equipment can add services billed to insurers, and the first payments for those services arrive weeks after the first procedures. Plan for the equipment payment to start before the new revenue does. If the practice already runs tight between claims, a small amount of working capital alongside the equipment request may be worth discussing.
The File a Practice Sends In
- The itemized vendor quote
- Recent business bank statements
- Accounts receivable aging, for larger requests
- Leases and loans already running on practice equipment
- The physician owners' credit
In an equipment request the equipment secures the payment, and the quote shows what is being bought. The equipment financing page explains loans and leases in general.
Business Loans for Doctors Beyond Equipment
A practice may arrange equipment financing first and other financing later. Build-outs for a new procedure room, a partner's buy-in and bridging slow reimbursement are separate requests with their own structures. Keeping the equipment financing tidy, paid as agreed and documented, gives a partner a record to review for those later requests.
